In these Terms, "we," "us," and "our" refer to PineShadeGrove, and "you" and "your" refer to the user of our website or services.

While we strive to keep information accurate and up-to-date, we make no representations or warranties about the completeness, reliability, or accuracy of the information, products, services, or related graphics contained on our website.

All content on this website, including text, graphics, logos, icons, images, audio clips, digital downloads, and software, is the property of PineShadeGrove or its content suppliers and is protected by international copyright laws. Booking and Payment Terms

Booking Process

To make a booking, you must complete our booking form and pay the required deposit. A binding contract between us will exist once we have issued a confirmation invoice. The lead booker must be at least 18 years of age and possess the legal authority to make the booking on behalf of all other travelers in the party.

Pricing and Payments

All prices are stated in USD unless otherwise specified. Prices are subject to change until your booking is confirmed with a deposit. The following payment terms apply:

  • A non-refundable deposit of 25% of the total trip cost is required at the time of booking
  • Final payment is due 60 days before departure
  • For bookings made within 60 days of departure, full payment is required at the time of booking
  • Failure to pay the balance by the due date may result in cancellation of your booking with loss of deposit

Payment can be made by credit card, bank transfer, or other methods specified at the time of booking.

Service Fees

Our planning fees are clearly outlined during the consultation process and vary based on the complexity of your trip and the level of service selected. These fees ensure we can dedicate proper time and resources to creating your travel experience.

Price Changes

We reserve the right to amend the price of unsold trips at any time. After confirmation, we will only amend the price in the following circumstances:

  • Changes in transportation costs (including fuel)
  • Changes in taxes, fees, or charges imposed by third parties
  • Significant changes in exchange rates relevant to your trip

We will absorb, and you will not be charged for, any price increase equivalent to 2% or less of the price of your travel arrangements. You will be charged for amounts above that. If the price increase exceeds 10% of your travel arrangements, you have the option to cancel and receive a full refund.

Cancellations and Changes

Changes by You

If you wish to change your booking after confirmation, we will make reasonable efforts to accommodate your request. An administration fee of $100 per person may apply, in addition to any costs incurred by us and any costs or charges incurred or imposed by any of our suppliers.

Cancellation by You

If you need to cancel your booking, you must notify us in writing. Cancellation charges will apply as follows (calculated from the day we receive written notification):

  • More than 60 days before departure: Loss of deposit
  • 60-45 days before departure: 50% of total trip cost
  • 44-30 days before departure: 75% of total trip cost
  • Less than 30 days before departure or no-show: 100% of total trip cost

These cancellation charges are in addition to any cancellation charges that may be levied by our suppliers. We strongly recommend that you purchase comprehensive travel insurance that includes cancellation coverage.

Changes or Cancellations by Us

We reserve the right to make changes to your trip after booking if necessary due to unavoidable and extraordinary circumstances. If we make a significant change to your trip, we will inform you as soon as possible. You will have the option to:

  • Accept the change
  • Accept an alternative trip of comparable standard, if available
  • Cancel your trip and receive a full refund of all monies paid

A significant change includes a change of destination or a change to a lower standard accommodation for the whole or a significant part of your trip. Minor changes, such as a change of accommodation to another of the same standard, do not entitle you to cancel without penalty.

In the unlikely event that we need to cancel your trip, we will notify you as soon as possible and offer you an alternative trip of comparable standard, if available, or a full refund. We will not cancel your trip less than 60 days before departure unless due to unavoidable and extraordinary circumstances or your failure to pay the balance.

Travel Documents and Requirements

Passports and Visas

You are responsible for ensuring that you and all members of your party have valid travel documents, including:

  • A passport valid for at least six months beyond your planned return date
  • Any required visas or travel permits
  • Any necessary vaccinations and health certificates

We can provide general information about passport and visa requirements, but you should check with the relevant embassies or consulates for the most up-to-date information. We accept no liability if you are refused entry to a country because you lack the correct passport, visa, or other travel documentation.

Travel Insurance

Comprehensive travel insurance is strongly recommended for all travelers. Your insurance should cover, at minimum:

  • Emergency medical expenses and repatriation
  • Trip cancellation and curtailment
  • Personal liability and legal expenses
  • Personal belongings and money
  • Travel delay and missed departure

You may be asked to provide details of your travel insurance policy at the time of booking or before departure.

Health and Fitness

You are responsible for ensuring that you are in good health and physically capable of completing your chosen trip. Some trips may require a specific level of fitness or mobility. If you have any concerns about your ability to participate in a trip, please consult your doctor and inform us before booking.

If you have a medical condition, disability, or reduced mobility that may affect your trip, you must inform us at the time of booking so that we can advise on the suitability of your chosen arrangements.

During Your Trip

Behavior and Compliance

You are expected to behave responsibly and considerately throughout your trip. If, in our reasonable opinion, you behave in a way that causes or is likely to cause danger, upset, or distress to any third party or damage to property, we reserve the right to terminate your trip without refund.

You must comply with all instructions from our representatives, guides, and local regulations. This includes health and safety directives and requirements related to COVID-19 or other public health situations.

Accommodation and Services

The standard of accommodation and other services may vary according to local standards and practices. While we select partners and providers that meet our quality standards, variations in accommodation facilities, room sizes, and service standards may exist within and between destinations.

Travel Delays and Force Majeure

We regret we cannot accept liability or pay any compensation where the performance of our obligations is prevented or affected by "force majeure." In these Terms, force majeure means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include:

  • War, threat of war, riot, civil strife, terrorist activity
  • Natural or nuclear disaster, fire
  • Adverse weather conditions
  • Epidemics, pandemics, health risks
  • Industrial dispute
  • Technical problems with transport
  • Closure or congestion of airports or ports

We will provide appropriate assistance in the event of difficulties, particularly by providing information on health services, local authorities, and consular assistance, and assisting with alternative arrangements and communication. Any costs incurred would be your responsibility.

Liability and Complaints

Our Liability to You

We will accept responsibility for the arrangements we agree to provide or arrange for you as an "organizer" under the Package Travel and Linked Travel Arrangements Regulations 2018. We are responsible for the proper performance of all travel services included in your package, as set out in your confirmation invoice.

Subject to these Terms, if we or our suppliers perform or arrange your contracted holiday arrangements negligently, we will pay you reasonable compensation. However, we will not be liable where any failure in the performance of the contract is due to:

  • Your own acts or omissions
  • Acts or omissions of a third party unconnected with the provision of the travel services in the package and which were unforeseeable or unavoidable
  • Unusual or unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised
  • An event which either we or our suppliers could not, even with all due care, have foreseen or forestalled

Our liability, except in cases involving death, injury, or illness, shall be limited to a maximum of three times the cost of your travel arrangements.

Complaints Procedure

If you have a complaint during your trip, you must inform our local representative or tour leader immediately so that they can attempt to rectify the issue. If your complaint is not resolved locally, please follow these steps:

  1. Inform the supplier of the service in question (hotel, tour guide, etc.)
  2. Contact our emergency contact number provided in your travel documents
  3. If the issue remains unresolved, please send a formal written complaint within 28 days of your return

We aim to respond to all complaints within 14 days. If you fail to follow this procedure, your right to claim compensation may be affected.

Additional Terms

Marketing and Photography

We may take photographs and videos during your trip for use in our marketing materials, including brochures, websites, and social media. By booking with us, you consent to us using images of you for these purposes. If you prefer not to be included, please notify us in writing prior to your trip.

Special Requests

If you have any special requests (e.g., dietary requirements, room preferences), please inform us at the time of booking. We will pass on reasonable requests to our suppliers but cannot guarantee that they will be met. Failure to meet special requests will not constitute a breach of contract on our part.

Third-Party Links

Our website may include links to third-party websites. These links are provided for your convenience only. We have no control over the contents of those sites and accept no responsibility for them or for any loss or damage that may arise from your use of them.

Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect.

Governing Law

These Terms are governed by the laws of Singapore. Any dispute arising from these Terms will be subject to the exclusive jurisdiction of the courts of Singapore.

Changes to These Terms

We reserve the right to update or modify these Terms at any time without prior notice. The most current version will be posted on our website with the date it was last updated. By continuing to use our services after any modifications, you agree to be bound by the updated Terms.
